A custom-designed hotel key card is one of the most cost-effective branding investments a hotel can make. Guests interact with their room key dozens of times during a stay, making it arguably the most-touched brand asset in your entire property. Here's how the customisation process works, from first concept to cards in hand.
Step 1: Design Brief
Every great key card starts with a clear brief. We'll need your logo files (vector format preferred), brand colour codes, and any design direction. Some hotels want a clean, minimal design with just a logo and colour. Others want full photographic imagery of their property. Both approaches work — the key is intentionality.
Step 2: Material Selection
The material choice affects both the design possibilities and the brand message:
- Standard PVC — Full-colour offset printing, widest design flexibility
- Recycled PVC — Same print quality as standard PVC, with sustainability story
- BioBoard — Slightly textured surface, excellent for eco-forward brands
- Wood — Laser engraving for logos, limited to single-tone designs
- Cork — UV printing or laser engraving, natural grain creates unique character
Step 3: RFID Specification
Your lock system determines the RFID chip specification. We'll match your existing infrastructure — whether that's Dormakaba's SAFLOK with MIFARE Classic, SALTO with DESFire, Assa Abloy VingCard, or Onity. If you're unsure, we can identify the correct specification from a sample card.
Step 4: Design and Proofing
Our design team creates your card artwork, typically delivering 2-3 concepts. After revisions, we produce a digital proof showing exact colour reproduction, bleed areas, and RFID chip placement. For premium finishes — metallic foil, spot UV, embossing — we include finish placement guides.
Step 5: Production
Standard production takes 2-3 weeks from approved proof. Our 6-colour Heidelberg offset press ensures accurate Pantone matching and sharp imagery. RFID inlays are embedded and tested individually. Edge foiling and specialty finishes add 3-5 additional working days.
Step 6: Quality Control and Delivery
Every batch undergoes RFID testing (100% scan rate verification), visual inspection, and dimensional checking. Cards are packaged in protective sleeves and shipped to anywhere in South Africa. Cape Town and Western Cape deliveries typically arrive within 2-3 working days; Johannesburg, Durban, and other metros within 4-5 days.
